Process automation in Ecuador: what it is, what to automate first and how to start

Process automation in Ecuador: what to automate first, a cost and payback calculator with 2026 employer costs, integration vs RPA vs AI, and a checklist.

Example: weekly reconciliation of sales against collections

Today, by hand · example 5.5 h per week

Illustrative example: from 5.5 h to 1 h per week is 82 % less manual work. Measure your process for a week before deciding.

What to automate first

Score each candidate 1 to 3 on frequency, rule stability and cost of error. The list re-ranks itself; add your own process in the last row.

Score your candidates: the highest score goes first

Is it worth automating?

Enter the hours and salary of whoever does the process today. The calculator adds the real employer cost (13th and 14th salaries, IESS and reserve fund) and compares it with the project and its maintenance.

Is it worth automating this process? (Ecuador)

1 · What it costs today

2 · What automating costs

Yearly cost of the manual work, salary onlyUSD 3,000
Real yearly cost to the companyUSD 3,955×1.32 employer-cost multiplier
Total cost of automating, year 1USD 3,600project + 12 months of maintenance
Net savingsUSD 181 per monthUSD 2,168 per year
Months to pay back the project16.6

Worth it, carefully: 16.6 months to pay back. Narrow the first project.

estimated

Employer cost per month = salary × (1 + 8.33 % 13th salary + 11.15 % IESS employer contribution + 8.33 % reserve fund from year two) + USD 40.17 of 14th salary (one basic wage a year ÷ 12). 2026 basic wage: USD 482, set by the Ministry of Labor. Reserve fund 8.33 % after one year with the same employer: IESS. 13th and 14th salaries: Labor Code, arts. 111 and 113. Checked 11 Oct 2026. Excludes vacation and IECE/SECAP, so the real cost is slightly higher.

Assumptions: 173.33 working hours a month (40 h × 52 weeks ÷ 12), 52 weeks a year. Net monthly savings = real yearly cost × % automated ÷ 12 − maintenance. Payback months = project cost ÷ net monthly savings. Project, maintenance and % are examples: measure your process for a week before deciding.

Data and compliance

  • Invoices. Under Resolution NAC-DGERCGC22-00000024 (Official Register 2nd Suppl. 80, 9 June 2022), taxpayers required to issue invoices had to move to electronic issuance by November 2022. Source: SRI and Official Register.
  • Personal data. The Organic Law on Personal Data Protection (Official Register Suppl. 459, 26 May 2021) also governs your automations; its sanctions regime applies since May 2023. Source: law text, MINTEL.

Frequently asked questions

What is process automation?

It means software reliably executes a repetitive task a person does by hand today (moving data between systems, generating reports, answering frequent questions, cross-checking spreadsheets), with clear rules and monitoring.

Which process should be automated first?

The one that meets three conditions: it repeats many times a week, it follows stable rules, and its errors or delays cost visible money. Typical candidates: reconciliations, operational reports, data entry between systems, and answers to frequent questions.

What is the difference between automation and adopting AI?

Classic automation executes fixed rules (if A happens, do B). AI comes in when the task requires interpreting text, classifying cases or exercising judgment: AI agents complement the rules. A good project usually combines both.

How long does a first automation project take?

A well-scoped first process (an integration between two systems, an automatic report, an approval flow) is usually measured in weeks, not months. What stretches projects is starting with large, poorly defined processes.
